Packaged solution or custom build: how to choose without overpaying either way

When a fixed-scope product fits an SME, when you need owned code and integrations, and how to tell if a cheap package will cost more within a year.

What you’ll take away

  • Packaged solutions win when your need matches the box; custom wins when integrations and ownership matter.
  • The cheapest upfront option often hides lock-in or scope you will outgrow in months.
  • Hybrid paths exist: start packaged, migrate critical parts to owned code later.

Not every SME needs a fully bespoke build from day one — and not every “ready-made solution” stays cheap once you add the integrations your business actually runs on. The useful question is not which option is “better,” but which matches your scope, timeline and how fast your requirements will change.

When a packaged solution makes sense

Your need matches a defined product. A corporate website with standard pages, a business chatbot with FAQ and escalation, an executive dashboard with a known data source: fixed-scope offers exist because many SMEs share the same shape of problem.

Speed matters more than infinite flexibility. Launching in weeks with a clear deliverable beats a three-month custom project if the packaged scope covers 90% of what you need today.

You want predictable cost. Fixed price and a known feature set simplify budgeting — as long as you read what is in and out of scope before signing.

When custom development is the honest answer

Integrations are the real project. If the site must talk to ERP, CRM, payment gateways and booking systems in ways no package documents, you are paying for connections — not for “more pages.”

You need to own the code and hosting. Templates and rented platforms are fine until you outgrow limits, need a feature the vendor will not build, or discover exit costs. Owned code costs more initially and less in year three when you are not renegotiating every change.

The business logic is specific. Configurable quotes, multi-step approvals, customer portals with role-based access: that is product work, not a theme customization.

The hidden cost of choosing wrong

Watch out: a packaged site that needs six paid plugins and hourly support for every text change can exceed a custom build’s three-year total cost — compare totals, not launch price alone.

The same applies to chatbots locked to one vendor’s platform, or dashboards that cannot connect to your actual data without expensive middleware.

A practical decision checklist

  • Does the packaged scope include every integration you need on day one?
  • What happens when you need a feature outside the box — fixed price, hourly, or “not possible”?
  • Who owns content, data and code if you leave?
  • Will your team edit day-to-day content without opening a ticket?
  • Is the timeline driven by your approvals or an open-ended custom backlog?

Hybrid is valid

Many SMEs start with a packaged corporate website or business chatbot and later move critical parts to owned infrastructure once volume or complexity justifies it. The mistake is choosing packaged while knowing you will need custom integrations in 60 days — that is two projects stacked, not savings.

How we do it at Bitora

We offer both packaged solutions for common starting points and custom web development when scope, integrations or ownership require it. The diagnostic tells you which path fits; we do not upsell custom when packaged is enough, or sell a package that will break on your first ERP requirement.

If you are unsure which side you are on, request a free diagnostic and we will recommend the smallest honest scope — packaged, custom or phased.
