Stop copying data between tools: the painful 20%

Excel, Gmail and a CRM that do not talk to each other is the most common daily drain in SMEs, and it can almost always be fixed with two or three connections.

Ask any operations team “what is the most tedious part of your day?” and almost always the same thing comes up: copying the same piece of data from one place to another. An order comes in by email, gets written down in a spreadsheet, gets passed to the CRM and then to the invoicing tool. Four places, one piece of data, four chances to get it wrong.

Why this problem is so common and so invisible

Nobody designs a process like this on purpose. It happens because tools get added one at a time, each one solving a specific problem, without anyone sitting down to think about how they should talk to each other. The result is a process that “works,” in the sense that the work gets done, but it eats hours nobody has ever added up anywhere.

Data point: in SMEs with manual processes like this, it is not unusual to find 5 to 10 hours a week of one person’s time spent just moving data between systems.

You do not need to connect everything

This is the most common mistake when planning automation: trying to connect every single tool in the company at once. That is expensive, slow, and in most cases unnecessary. The practical rule is to identify the 20% of connections that solve 80% of the pain: usually 2 to 4 specific systems where data travels most often and where an error is most costly.

How to identify those priority connections

  1. During a normal week, note every time someone manually copies or retypes a piece of data from one system to another.
  2. For each case, note how many times a day or week it happens, and what happens if the data gets copied wrong.
  3. Sort by frequency × cost of error. The top three or four rows on that list are where to start.

Copying data wrong is not just lost time

Every manual copy is also a chance for the data to arrive wrong: a shifted decimal in a price, a mistyped email, the wrong quantity on an order. That kind of error is rarely caught immediately, and once it is, fixing it costs more time than was saved by doing it “quickly” by hand.

What kind of connection is usually enough

Most of these cases do not need a complex integration: a webhook that triggers an action when an order comes in, or a periodic sync between two tools with an open API, solves the problem without building a new system from scratch.
