It is easy to fill a monthly report with numbers that go up and down without anyone quite knowing what to do about them. Website visits, social followers, email opens: they look good on a slide, but they rarely change a business decision at an SME. That is a vanity metric, not a KPI.
The question that separates a KPI from a nice-looking number
Before deciding whether something deserves a place on a dashboard, there is one question that matters: if this figure goes up or down 20% tomorrow, would it change any specific business decision? If the answer is no, it is information, not a key indicator.
The KPIs that almost always matter for an SME
Margin by service or product line. Not just total revenue, but which part of the business actually makes money after costs. It is common to discover that the “star” line of business by volume is the one with the thinnest margin.
Sales cycle. How long it takes from first contact to closing. If it is stretching out, that is an early warning sign of a problem in the sales process, before it shows up in the quarter’s revenue.
Repeat or retention rate. What percentage of customers buy again or renew. Acquiring a new customer usually costs several times more than retaining an existing one, so this figure says a lot about the real health of the business.
Customer acquisition cost versus lifetime value. How much it costs to win a customer compared to how much that customer generates over the time they stay. Without this comparison, it is impossible to know whether a marketing campaign is profitable or just generating activity.
Common vanity metrics (and why they mislead)
Watch out: a metric that always goes up (like total visits) can make you feel good without saying anything about whether the business is actually doing better.
Website visits with no associated conversion, social followers with no real engagement, lead count with no qualification. All of them climb over time almost by inertia, which makes them feel like progress even when they are not.
Fewer metrics, better tracked
The goal is not to measure everything measurable, it is to measure the 4 or 5 figures that actually predict whether the business is doing well or not, and review them at the right frequency to act in time — weekly for operational ones, monthly for strategic ones.
